HOW TO RESERVE YOUR TRIP
Reserving your adventure with Boreal River is simple. Just call 1 866 242 9383 to speak with us, e-mail your request to [email protected] or reserve your trip on the web through our online reservation request system.
If you’re not sure if a particular trip is right for you or you’re looking for more information, let us know and we would be happy to answer your questions.
To reserve space on our trips we ask for a deposit as well as a completed reservation form. We require a deposit of 25% for all trips.
Payment can be made by credit card, wire transfer, email transfer (within Canada), or cheque.
A deposit to reserve your space on a trip is due at time of booking. The balance of your trip cost is due 90 days prior to departure.
PRICING—ALL TAXES INCLUDED
All Canadian trips are priced in Canadian dollars. Any foreign currency pricing is only approximate. Boreal River charges in Canadian dollars and it is your credit card company or bank who determines your exchange rate on the day your transaction takes place. Pricing is subject to change.
For all adventure trips in Canada, provincial sales tax and federal sales tax are included in the listed price. The provincial tax in Quebec called the QST is 9.975%. The federal tax called the GST (Goods and Services Tax) is 5% tax.
Boreal River will never cancel a trip if our guides on the ground deem it safe. That’s right, we guarantee your trip. We will only cancel a trip if our guides feel that safety threats, including natural disasters may impede trip operations and guest safety.
If a trip has to be cancelled due to circumstances beyond our control, i.e., natural disasters, labour strikes etc., then we give you a spot on another departure of the same trip, or a full credit to use towards any of our other trips.
Boreal River is not responsible for expenses incurred by trip participants in preparing for a cancelled trip (for example non-refundable advance purchase plane tickets, visa fees, inoculations, equipment etc. or for any additional arrangements for other travel plans associated with this trip).
If you find it necessary to cancel your trip, please let us know as soon as possible. You may cancel your reservation and get 100% of your money back within 14 days of booking with our worry-free booking. After that 2-week window and prior to 60-days before your trip departs, our lifetime deposit comes into effect.
Our lifetime deposit means you don’t lose your money if something unexpected comes up and you need to cancel your trip. As long as you give us 60 days notice, your deposit will be good forever. Whether you use it for the same trip at a later date or for any of our other trips. Unlike most other travel companies, we'll never charge you a cancellation fee. To avoid confusion, we require written notice of cancellation, by email, fax or mail.
Boreal River is not responsible for any additional costs that may arise in the event of a trip alteration or delay caused by circumstances beyond our control. The following fees will apply to cancellations and are calculated as of the date we receive your written cancellation notice, which can be sent by email, fax or standard mail.
If you must cancel your trip, our policy is as follows:
- Within two weeks of registration you can cancel for a full refund.
- 14 days after booking and up to 60 days before your trip – you get a lifetime deposit good for any of our trips.
- Later than 60 days before trip – No refund will be given, unless we can find someone to fill your space. In this case, only the deposit is retained.
We highly recommend that all guests purchase trip cancellation and interruption insurance. Boreal River is not responsible for ensuring the appropriate level or amount of coverage is purchased. Please contact your travel insurance provider to ensure you have appropriate coverage for your entire trip.
Here are some important conditions to be aware of regarding our Lifetime Deposits:
- A Lifetime Deposit is applicable in the period after the 14-day Risk-Free Booking Window and before the 60 days prior to the scheduled departure window.
- You can transfer your Lifetime Deposit to a family member or friend of your choosing.
- Any cancellations made within 60 days of the scheduled departure will be treated as a guest cancellation, in which case the payment will be subject to our cancellation policies.
- A Lifetime Deposit will be granted once per guest. If a guest needs to cancel a second time, outside of the 14-day Risk-Free Booking Window, the amount of the deposit will be forfeited.
- Private groups & customized adventures may be exempt from Lifetime Deposits.
- The value of the Lifetime Deposit is limited to the amount of the original deposit. If the deposit requirements of the new trip being booked are higher than this amount, then the difference must be paid in order to confirm the booking.
- If the value of the Lifetime Deposit exceeds the total value of the per person price of the new trip, there will be no credit or refund of the difference.
- Lifetime Deposits, or any portion of them, are not refundable in cash - but you can use your Lifetime Deposit to confirm your next booking with us with no cash down, with the exception of where the required deposit on the new trip exceeds the value of the original deposit.
Once you’ve made your choice and sent in your deposit, we’ll send you a detailed document that includes everything that you will need to prepare for your tour including an itinerary, packing list, transportation options, directions, meeting times and frequently asked questions.
Let us know if you’re planning a birthday or anniversary trip. We’ll pack a surprise! If you have special dietary considerations, please let us know in advance and we’ll make all the accommodations necessary if you’re vegetarian, vegan, gluten-free, or have food allergies.
MEDICAL AND RISK ACKNOWLEDGEMENT/ LIABILITY RELEASE FORMS
Each participant is required to fully fill out a medical form and liability release form.
Although no previous experience is required on many of our trips, as with any adventure there is always an element of risk. If you have any physical limitations or concerns please let us know. As we are not qualified to evaluate your level of fitness we ask that you (possibly along with your doctor) determine whether or not you are able to join one of our adventures. If you have any special medical conditions, we encourage you to check with your doctor before you reserve your trip. Please also note that most of our trips take place in remote areas and evacuations can take a great deal of time and can be expensive.
You must also acknowledge that travel with Boreal River requires a degree of flexibility and understanding that the trip’s route, itinerary, accommodation and modes of transport are subject to change without prior notice due to local circumstances. While traveling with Boreal River you agree to accept the authority of the trip leader at all times. You need to be aware that group travel may involve compromise to accommodate the diverse desires and abilities of group members. We just ask that you welcome your adventure with an open mind and be able to laugh and have fun when encountering the unexpected. Boreal River is dedicated to providing safe, environmentally sensitive, well-organized, fun-filled adventures.

PASSPORTS AND VISAS
You must carry a valid passport and/or necessary documentation and have obtained the appropriate visas when travelling with Boreal River. Please ensure your passport is valid for 6 months beyond the duration of your trip. It is your responsibility to ensure that you are in possession of the correct visas for your travels. Boreal River does not accept responsibility if you are refused entry to a country because you lack the correct documentation or the authorities deem you unsuitable for entry.
STORAGE OF PERSONAL AND FINANCIAL INFORMATION
Due to the nature of our services, it is necessary to collect and store a certain amount of personal and financial information. By providing us with address, personal and financial information, you consent to the storage of this information for a period of time deemed appropriate by Boreal River. We aim to permanently delete any of your sensitive personal information (financial and medical) within two weeks after the end of the trip. We keep some personal information such as your name, phone number, email address and billing address in our database unless specifically requested to remove it.
Boreal River occasionally sends out an e-newsletter and occasional area or activity specific news that we think you’ll want to hear about. We will NEVER share your email address with any third-party company (unless it is for the purpose of coordinating trip logistics, for example booking airline tickets). Boreal River reserves the right to take photographic or film records of any of its trips. Trip members should be aware that Boreal River may use these photos or film for promotional and or commercial purposes without remuneration to the trip participants.
